Rider Entry Agreement

1. Scope and definitions

1.1 Nordic Chase is a series of self-supported ultra-endurance cycling events organised by Nordic Chase, a sole proprietorship (enkeltmandsvirksomhed) registered in Denmark under “Sanders - Nordic Chase” on Ægirsgade 78, st. th., 2200 København N, Denmark ("the Organiser").

1.2 In this Agreement:

• "Chase" means a single event within the series, for example Berlin to Copenhagen.

• "Series" means all Chases held within a single calendar year.

• "Rider" means an individual who registers for a Chase.

• "Race Rules" means the Race Rules and FAQ published at nordicchase.com.

• "Race Manual" means the manual issued to registered Riders for a specific Chase.

• "Start" means the official Grand Départ of the relevant Chase.

1.3 This Agreement applies to every Chase in the 2027 season. Where a clause applies to one Chase only, this is stated.

1.4 By completing registration, the Rider confirms they have read, understood and accept this Agreement, and enters into a binding contract with the Organiser.

2. Governing documents

2.1 Three documents govern participation: this Agreement, the Race Rules, and the Race Manual for the relevant Chase. This Agreement and the Race Rules are published at nordicchase.com. The Race Manual is sent by email to registered Riders approximately four weeks before the Start. All three are incorporated into this Agreement by reference.

2.2 The Agreement sets out the commercial and legal relationship between the Rider and the Organiser. The Race Rules set out sporting conduct, classification and penalties. The Race Manual sets out the route, timings, logistics and mandatory equipment for a specific Chase.

2.3 Where the documents conflict, this Agreement prevails on commercial and legal matters, and the Race Rules prevail on sporting matters. The most recently published version of each document applies.

3. Eligibility

3.1 The Rider must be at least 18 years old on the first day of the Chase they have entered. Photo identification must be presented at check-in.

3.2 The Rider is the sole judge of their own fitness to take part and is encouraged to seek medical advice before entering. The Organiser carries out no fitness assessment.

3.3 Attendance in person at the rider briefing and check-in is mandatory. A Rider who cannot attend must email info@nordicchase.com in advance so that an alternative can be arranged.

3.4 The Rider must present a roadworthy bicycle carrying the mandatory equipment listed in the Race Manual. The Organiser may inspect equipment at check-in and may refuse a start on safety grounds. No refund is due where a start is refused under this clause.

3.5 An entry is personal to the named Rider. Riding under another person's entry will result in the disqualification of both individuals, with no refund.

4. Registration, entry fee and payment

4.1 An entry is confirmed only when payment has been received in full and a written confirmation has been issued by the Organiser.

4.2 All fees are quoted and charged in euro (EUR). The Rider bears any currency conversion charge or fee applied by their own bank or card issuer.

4.3 If a payment is reversed, disputed or charged back, the entry is cancelled immediately and the Rider is not permitted to start.

5. Right of withdrawal

5.1 Entry to a Chase is a leisure service supplied on a specific date. Under Danish consumer contract law (forbrugeraftaleloven, implementing Article 16(l) of Directive 2011/83/EU), the 14-day right of withdrawal for distance contracts does not apply to this contract.

5.2 Cancellation is instead governed by section 6.

6. Cancellation, refunds and resale

6.1 A Rider who cannot take part may cancel by email to info@nordicchase.com. The date the email is received governs. Refunds are dependent on when the notice is given:

• More than 90 days: €120

• 90 to 61 days: €60

• 60 to 15 days: €30

• Fewer than 15 days, or after the Start: None

Refunds are issued in euro to the original payment method within 30 days.

6.2 A Rider who cannot take part is welcome to find someone to take their place. Transfer requests must be sent to info@nordicchase.com no later than 15 days before the Start. A transfer takes effect only once the Organiser has confirmed it in writing and the incoming rider has completed registration and accepted this Agreement. Any payment between the two riders is a matter for them and is not handled by the Organiser.

6.3 No refund is due where a Rider does not start, withdraws during the Chase, finishes outside the cut-off, is disqualified, or is refused a start under clause 3.4.

6.4 The Organiser does not refund travel, accommodation or any other cost incurred by the Rider in connection with a Chase.

7. Changes to a Chase, and force majeure

7.1 The Organiser may alter the route, start location, timings, cut-off, checkpoints or logistics where this is necessary for safety, permits, road closures, weather or other operational reasons. Riders will be notified as early as is reasonably practicable. Changes of this kind do not entitle the Rider to a refund.

7.2 The Organiser may cancel, postpone or modify a Chase in the event of force majeure, including extreme weather, natural disaster, public health emergency, terrorism, political unrest, industrial action, withdrawal of permits, or any other circumstance beyond the Organiser's reasonable control.

7.3 Where a Chase is cancelled before the Start due to force majeure, the Organiser will offer the Rider one of the following, at the Organiser's discretion: a transfer of the entry to the equivalent Chase in the following season, a credit against a future entry, or a partial refund of the entry fee less costs already committed. The Organiser is not liable for travel, accommodation or any other cost.

7.4 Where a Chase is stopped or neutralised after the Start, no refund is due. The Organiser will publish a classification appropriate to the circumstances.

8. GPS tracking

8.1 GPS trackers are supplied by FollowMyChallenge and issued at the rider briefing. A refundable deposit of €150 is required for each tracker, collected in euro and refunded in euro to the same payment method.

8.2 The Rider is responsible for the tracker from the moment it is handed over until it is returned. The tracker must be kept charged, switched on, functional and securely mounted for the full duration of the Chase.

8.3 Trackers are returned at the route end, where the deposit is refunded on the spot. A Rider who withdraws must return the tracker in person or by post within 7 days after the cut-off date of the Chase. Postal return is at the Rider's cost and risk. Deposits for postal returns are refunded once the device has been received and inspected in working order.

8.4 The deposit is retained in full if the tracker is lost, damaged beyond repair, or not returned within the deadline.

8.5 Live tracking is published on a public webpage. The Rider's name, race number, category and position data are visible to the public during and after the Chase and remain in the public results archive.

8.6 Tracking is a third-party service. Outages, gaps in coverage and inaccurate positions can occur. Tracking is not a safety, monitoring or emergency service, and the Rider must not rely on it to summon help. The Organiser is not liable for any failure of the tracking system.

9. Bag and bike box transport

9.1 Where offered, the Organiser transports one bag per Rider, within the size limit stated in the Race Manual, from the start to the route end. Bike box transport must be ordered in advance and is not available on the day.

9.2 Items are carried entirely at the Rider's own risk. Riders must not pack valuables, electronics, travel documents, cash, or medication needed during the Chase.

9.3 The Organiser handles all items with care but is not responsible for loss or damage.

10. Nature of the event and assumption of risk

10.1 Nordic Chase is a self-supported event. The Organiser provides no mechanical assistance, no medical assistance, no feed stations, no marshalling, no road closures and no sweep vehicle.

10.2 The entire route runs on public roads and paths open to normal traffic. The Rider is solely responsible for complying with the traffic law of every country on the route.

10.3 The Rider acknowledges the risks inherent in the event, including motor traffic, riding at night, sleep deprivation, extreme fatigue, heat, cold, rain and wind, poor or unsurfaced roads, remote sections without mobile coverage, long delays before assistance can arrive, ferries and level crossings, wildlife, the conduct of other riders and third parties, mechanical failure, serious injury, permanent disability and death.

10.4 The Rider accepts these risks voluntarily and knowingly, and takes part entirely at their own risk.

10.5 The Rider must respect the environment, carry litter to the next bin, respect private land, and observe the right-to-roam rules of Sweden and Norway where they apply.

11. Insurance

11.1 The Rider must hold, for the full duration of the Chase and for travel to and from it, insurance covering personal accident, medical and emergency treatment valid in every country on the route, repatriation, and personal liability.

11.2 The Organiser provides no insurance of any kind for the Rider.

12. Safety, emergencies and withdrawal

12.1 In an emergency the Rider must call the local emergency number (112 across the countries on the route) before contacting the Organiser.

12.2 The Rider must supply emergency contact details at registration and confirm they have the named person's agreement to be contacted.

12.3 A Rider who withdraws must notify the Organiser as soon as reasonably possible using the method given in the Race Manual.

12.4 Where a Rider is unable to give consent themselves, they consent to emergency medical treatment being sought on their behalf, at their own cost.

12.5 The Organiser may require a Rider to stop on safety or medical grounds. That decision is final and no refund is due.

12.6 A Rider who comes across another rider in difficulty must stop and help or call for assistance. Helping another rider always takes precedence over racing.

13. Conduct, penalties and appeals

13.1 Sporting conduct is governed by the Race Rules. The Organiser may apply time penalties, remove a Rider from a classification, disqualify a Rider, or exclude a Rider from future Chases. Penalties may be applied after the event.

13.2 The Solo Classification is an optional, honour-based classification declared by the Rider at registration. Enforcement action under the Solo Classification affects the Solo ranking only and has no effect on the Rider's General Classification placing.

13.3 Riders finishing outside the cut-off are recorded as finishers but are listed outside the General Classification.

13.4 Discrimination, harassment, abusive or threatening behaviour towards riders, volunteers, staff, partners or members of the public results in immediate disqualification and removal from the event.

13.5 No refund is due following disqualification.

14. Media and image rights

14.1 The Rider grants the Organiser a non-exclusive, worldwide, royalty-free licence to use photographs, video, audio, results and tracking data featuring the Rider, captured at or in connection with a Chase, for the reporting, promotion and marketing of Nordic Chase.

14.2 Named commercial partners of a specific Chase may be granted the same licence in respect of that Chase only. The partners for each Chase are published on the Nordic Chase website before the Start.

14.3 The Rider may withdraw this consent by email to info@nordicchase.com. Withdrawal applies to future use only. It does not extend to material already published or distributed, nor to results and tracking archives, which form the permanent public record of the event.

14.4 The Rider retains all rights in content they capture themselves.

15. Data protection

15.1 The Organiser is the data controller for personal data processed in connection with a Chase. Contact: info@nordicchase.com.

15.2 Data processed includes name, date of birth, address, email, telephone number, nationality, emergency contact details, bicycle and equipment details, any medical information the Rider chooses to disclose, payment records, and location data generated by the GPS tracker.

15.3 The lawful bases are: performance of this contract (registration, timing, tracking, communications), legal obligation (accounting records under Danish bookkeeping law), legitimate interests (event safety, operations, publication of results), and consent (marketing communications, which the Rider may withdraw at any time).

15.4 Data is shared with the service providers needed to run the event, including the registration platform, the payment provider, the tracking provider, form and waiver providers, and the website and email providers. Where a provider processes data outside the EEA, appropriate safeguards are in place.

15.5 The following is published publicly: name, nationality, race number, category, classification, finish time, and live and archived tracking.

15.6 Registration and financial records are retained for five years as required by Danish bookkeeping law. Results are retained indefinitely as a sporting record.

15.7 The Rider has the right to access, rectification, erasure, restriction, portability and objection, and may complain to the Danish Data Protection Agency (Datatilsynet).

16. Intellectual property

16.1 All content published by the Organiser, including logos, event names, route designs, route files, photographs and text, is the property of the Organiser or used under licence.

16.2 Route files are licensed to the Rider for personal use in connection with the Chase they have entered. They may not be redistributed, republished or used commercially.

16.3 The Rider may not use the Nordic Chase name or marks in a way that suggests endorsement, sponsorship or affiliation without written consent.

17. Liability

17.1 Nothing in this Agreement excludes or limits the Organiser's liability for death or personal injury caused by gross negligence or an intentional act, or any other liability that cannot be excluded under Danish law.

17.2 Subject to clause 17.1, the Organiser, its staff, volunteers, contractors, partners and sponsors are not liable for any injury, loss, damage, delay or expense arising directly or indirectly from participation in a Chase, including anything caused by other riders, third parties, road or trail conditions, or the failure of a third-party service.

17.3 Subject to clause 17.1, the Organiser's total aggregate liability to a Rider is limited to the entry fee paid by that Rider.

17.4 Subject to clause 17.1, the Organiser is not liable for indirect or consequential loss, including travel, accommodation and equipment costs.

17.5 The Rider indemnifies the Organiser against claims brought by third parties arising from the Rider's own acts or omissions, including breaches of traffic law.

18. Communications

18.1 Email is the primary channel for race communication. The Rider must keep their registered email address current and check that messages from the Organiser are not filtered as spam.

19. Changes to this Agreement

19.1 The Organiser may update this Agreement. Each version carries a version number and effective date, and the current version is always published at nordicchase.com.

20. General

20.1 If any clause is found to be invalid or unenforceable, the remaining clauses continue in force.

20.2 A failure by the Organiser to enforce a clause is not a waiver of that clause.

20.3 This Agreement, together with the Race Rules and the Race Manual, forms the entire agreement between the Rider and the Organiser.

20.4 The English version of this Agreement governs. Any translation is provided for convenience only.

21. Governing law and disputes

21.1 This Agreement is governed by Danish law.

21.2 Disputes are subject to the jurisdiction of the Copenhagen City Court (Københavns Byret). A Rider acting as a consumer retains any mandatory right to bring proceedings in the courts of their country of residence.

21.3 A consumer may also refer a complaint to the Danish Centre for Complaint Resolution (Center for Klageløsning, Nævnenes Hus).
